Access Vendor Rebate Programs

Vendors may provide rebates for selected items based on reported item sales through Vendor Rebate Programs and Browse GPOS Items. Add the selected items to Vendor Rebate Programs to track the Rebate Receivables due and to Browse GPOS Items for sales reports to the Vendor.

Access
Grant permission to User Profiles in Access User Profiles > select a User Profile > Security > Inventory > Rebate Reporting

Create a new Vendor Rebate Program

Select from Access Vendor Rebate Programs to create a new Vendor Rebate Program to track item sales and record expected Rebate Receivables.

An eight character alpha-numeric ID is required.

Enter a descriptive Name of the rebate program in this 30 character alpha-numeric field.

Use the Rate field to enter the refund in a dollar amount that can be edited after the rebate program is active and sales are recorded.

Per- Specify the Unit of Measure for the items eligible for this rebate program. All items included in the rebate program must have a stocking Unit of Measure (UOM) that is consistent on the Item Detail, the Vendor Rebate Program and Browse GPOS Items.

Start Date indicates the beginning date that item sales will begin being tracked.

End Date indicates the last day items sales will be tracked for this program.

Select the Receivable Account, Rebate Receivables GL account, that will track the expected rebate amount due.

Enter any Notes about this rebate program.

Add Items to the Rebate Program after saving by using any of the methods listed.

- Item ID- Add items individually by the Item ID.

- Category - Select an entire Category for the rebate program.

-Manufacturer - Select a Manufacturer ID. Items with a Manufacturer ID included will be added to the rebate program.

- Tagging - A method of adding multiple items at once based on shared criteria. Select the "T" and the Items Filter screen appears. See Tagging Items for more information.

As items are added to the Rebate program, the Item information included

  • Item ID - Our Item ID.
  • Description - Description of the item.
  • Category - Category of the item.
  • Type - Item type, Inventory, Non-Inventory, Kit or Spot purchase.
  • Unit - Unit of Measure of the item.

The Unit of Measure on items must match the Unit of Measure stated in the Rate Per field.

 

Access an Existing Rebate Program

Select an existing Vendor Rebate Program by entering the ID or Name and select Find. The Vendor Rebate Program Rate and items can be edited even after the Start Date.

As item sales are tracked, select the Transactions tab for information on orders that qualify for the Rebate program.

Order - Order Number

Type - Transaction Type - Select Transactions for more information.

Customer ID - Customer ID

Customer Name - Customer Account Name

Item - Item ID

Description - Item Description

Qty Sold - Quantity Sold

Ext. Rebate - Extended Rebate - Amount written to the Rebate Receivables account.

Totals

Qty Sold - Total quantity sold of eligible items.

Ext. Rebate - Total Extended Rebate.

Currently, vendor rebate programs in Merchant are only applicable for programs that give refunds based on what is sold. There is not a way to track rebates based on what was purchased.
